How appointments and callbacks get organised in your business

The phone rings while you are with a customer, the note with the callback number is in the car, and by evening it is unclear who has already called back. Appointment requests by email are arranged through several messages back and forth. With an organised workflow, every enquiry gets an appointment or a person who takes care of it, and the customer gets a confirmation.

  • Record callback requests

    Callback requests from the website, email or answering machine are recorded with name, number, request and preferred time and assigned to the right person as a task. You decide who is responsible for which requests.

  • Coordinate calendars

    As far as your calendar allows a connection, we suggest appointments from the times that are actually free or let customers book directly. You decide which times are released and how much buffer there is in between.

  • Confirmations and reminders

    Customers receive a confirmation and a reminder before the appointment, and your team sees the day at a glance. We agree the wording and timing of the reminder with you.

Appointments and callbacks in practice

A physiotherapy practice with three therapists keeps the phone on silent during treatments and calls back during breaks. Callback requests now reach the therapist responsible as a task with the request and preferred time, and patients book follow-up appointments directly in the released time slots. A reminder goes out the evening before, and the practice sees who has confirmed.

Two questions before you start

Can customers simply book any free slot?

Only the times you release, and only for the services you set aside for it. Everything else goes to your team as a callback request.

What happens to calls nobody answers?

An answering machine with a clear message or a phone agent can take the callback request; this creates the same task as an enquiry from the website. We discuss in the first conversation which option suits you.
