Email assistants
An inbox that turns into organised tasks and good replies.

What an email assistant takes on in your inbox
In a business inbox, enquiries, invoices, delivery confirmations and newsletters sit side by side, and the important things get lost among the rest. By evening, it is unclear who still needs a reply and which details are missing for a quote. An email assistant pre-sorts, pulls out the tasks and prepares draft replies that you only need to check.
Sort and prioritise
We agree with you which kinds of email arrive and what needs handling first, such as enquiries before supplier advertising. The assistant organises incoming emails by these rules and marks what needs a reply.
Spot tasks and gaps
From an enquiry, the assistant works out what is wanted and which details are missing, for example address, measurements or date. You decide which details are essential for your quotes.
Drafts and follow-up
For every open email there is a draft reply in your tone, plus a follow-up task if no response comes. Only what you approve is sent.
Example scenario (fictional)
Email assistants in practice
A joinery receives enquiries through its contact form, directly by email and forwarded by architects, with supplier invoices and advertising in between. The assistant recognises the enquiry for a fitted kitchen, matches it to the existing customer and drafts a reply with the questions still open for a quote. The owner reads the draft during a break, changes one sentence and sends it.
How you can tell it fits
- A good fit if your inbox is really the business’s task list.
- A good fit if enquiries are left waiting because the day goes by on site or in the shop.
- A good fit if you like to send replies yourself but do not want to start from scratch every time.
What is included and what is not
The assistant sends nothing without your approval and makes no commitments on prices or dates. We agree together which mailbox it reads, how long data is stored and which AI provider is used; licences are listed separately.
Starting point
We prepare a separate quote for this.
A single existing workflow can also be a sensible starting point. You describe it, and we tell you what we can solve properly to begin with.
Quote for your project
after the first conversation
The first conversation costs nothing. Before we start, the quote sets out:
- the scope
- your input
- the sign-off
- the price
Licences, hosting and additional services are listed separately.
Two questions before you start
Does this work with our existing mailbox?
We check that in the first conversation, based on your provider. Your mailbox stays where it is; the assistant works with the emails that arrive there.
Does the AI read all our emails?
Only the mailboxes and folders you approve. You can exclude private mailboxes, payslips or confidential client matters; we document what is processed.
