How orders turn into delivery notes and invoices
In many businesses, the same customer data and line items are typed several times: into the quote, into the delivery note, into the invoice. Every bit of retyping takes time and is a chance for a mistake that the customer then notices. We connect the steps so that the confirmed quote becomes the order, and the order becomes the delivery note and draft invoice.
Quotes, orders, invoices
We set up the workflow from quote to order to invoice, for example in bexio or in the system you already use. You decide your templates, payment terms and standard text blocks.
Carry over data and line items
Customer data, line items, discounts and VAT move from one document to the next without anyone entering them again. Your business maintains items and customer records so that the carry-over is correct.
Connect delivery notes and workflows
Delivery note, job report and invoice are attached to the same order, so the invoice is only created once the goods have been delivered or the work done. You decide which documents you need and who approves them.

Orders and invoices in practice
A metalwork business writes quotes in a word processor, delivery notes by hand and invoices in bexio. After the switch, the customer confirms the quote, it becomes the order with all line items, the fitter prints the delivery note from the same order, and after installation the draft invoice with QR-bill is ready for approval. The office administrator checks line items and quantities and sends it.

What is included and what is not
We set up the workflow and connect the documents; the bexio licence, your templates and the approval of every invoice stay with you. Payment reminders and bookkeeping are not automatically included and are agreed separately if needed.

Do we have to switch to bexio for this?
No. bexio is a common basis, but we first look at what you already use and which interfaces are available for it.
What happens if the order changes after the quote?
Changes are updated in the order, and the delivery note and invoice are created from the current version. Your team records time-and-materials work or variations as additional line items before the invoice is approved.
