What payment reconciliation makes visible day to day

There is a credit on the bank statement, but someone has to find out which invoice it belongs to: the customer rounded the amount, paid several invoices together or left out the reference. With payment providers, the money arrives as a batch payout minus fees. Payment reconciliation puts invoices and payments side by side and shows you what matches and what remains open.

  • Compare bank and invoices

    We import bank transactions and compare them with open invoices by reference, amount, date and customer. You provide the bank statements and invoice data, for example from bexio.

  • Connect payment providers

    As far as the provider’s interface allows, we break batch payouts from card or online payments down into the individual transactions, including fees. We clarify beforehand which providers you use and which reports they supply.

  • Make discrepancies visible

    Part payments, overpayments, fee deductions and payments without an invoice appear in a list that your team works through. Your bookkeeping decides how each one is written off or chased.

Example scenario (fictional)

Payment reconciliation in practice

A clothes shop with a physical store and an online shop receives payments by card, invoice and cash, and the card provider transfers a weekly sum minus fees. The reconciliation matches the weekly payout to the individual sales and shows the fees; invoices paid with a reference are matched directly. What remains are the cases where a customer rounded the amount, and the owner gets these as a short list.

How you can tell it fits

  • A good fit if reconciling the bank statement with your debtors takes time every month.
  • A good fit if payment providers transfer batch payouts that nobody breaks down properly.
  • A good fit if payment reminders go out although the customer paid long ago.

What is included and what is not

Reconciliation shows matches and discrepancies; writing off, chasing or re-invoicing is done by your bookkeeping. Which providers can be connected depends on their interfaces, and bank access stays in your hands.

Two questions before you start

Do you need access to our bank account?

No, not to the account itself. We work with bank statements that you export or that your bank provides as a file. We cannot trigger payments with them.

Does this also work without a QR-bill?

Yes, then we compare by amount, date, customer and payment reference. With a QR-bill and reference number, matching is more clear-cut, so we recommend it wherever you issue invoices.
