What an AI bookkeeping agent prepares in a pilot
Receipts arrive on paper, as PDFs in the inbox and as photos from a phone, and at the end of the month someone searches for the matching invoice for every payment. If a receipt is missing, this often only shows up when the books are closed or in the VAT return. An AI bookkeeping agent reads the receipts, matches them and gives your bookkeeping checked suggestions, instead of everything being entered by hand.
Read and match receipts
The agent reads the supplier, amount, date, VAT and reference from invoices and QR-bills and matches them to the right payment or order. You decide which sources receipts come from and who collects them in your business.
Spot duplicates and gaps
Receipts submitted twice, missing invoices for payments and incomplete details are flagged instead of being posted silently. Your business clears up the open cases; the agent keeps them visible.
Prepare suggested entries
For every matched receipt there is a suggested entry with account and VAT code, for bexio or for your bookkeeper or accountant. Nothing is posted until the specialist has checked it.
Example scenario (fictional)
AI bookkeeping agents in practice
An installation business with two fitters and an office manager collects receipts in a folder and photographs fuel receipts with a phone. In the pilot, the agent reads one month’s receipts, finds the matching invoices for the payments on the bank statement and lists the payments without a receipt. The office manager clears up these cases with the fitters and passes the suggested entries to the accountant for checking.
How you can tell it fits
- A good fit if matching receipts to payments at the end of the month keeps getting put off.
- A good fit if missing receipts only show up when the books are closed or in the VAT return.
- A good fit if you use bexio or an accountant and want to hand over cleaner preparatory work.
What is included and what is not
AI bookkeeping agents are a limited pilot: we define the scope, receipt sources and sign-off together, and there is no guide price for it. Decisions on accounts, VAT and closing the books stay with the person responsible or the accountant; the agent prepares and posts nothing on its own.
Pilot project
We start this as a pilot project.
This service depends on your systems, data and approvals. That is why it starts as a limited pilot project with its own quote. Beforehand, we show you what works and what is still being trialled.
Pilot project
no guide price
Before we start, we put in writing:
- the scope of the pilot
- how we sign it off together
- who is responsible in your business
- what it costs, in a separate quote
Judgement calls stay with the person responsible in your business.
You can try it out in the demo “Malergeschäft Tannenberg (fictional)”, with sample data and both sides of the workflow. The demos are in German.
Two questions before you start
Does this replace our accountant?
No. The agent prepares receipts and suggested entries; checking, posting and responsibility stay with your bookkeeping or your accountant. Your accountant receives more complete documents as a result.
Why is there no guide price for this?
Because scope, receipt sources and accounting system differ in every business and we are trialling the agent in a limited pilot. We put in writing beforehand what the pilot includes, how we sign it off and what it costs.
The first conversation costs nothing.
