How purchasing and stock alerts show shortages earlier
Material runs out just when the fitter needs it on site, or the store has too much of one item and none of another. The person who keeps the stock levels in their head happens to be on holiday. Stock alerts show in good time what is running low and prepare a purchasing suggestion for you to check.
Minimum stock and consumption
We set a minimum stock level for each item and take into account actual consumption from orders or stock movements. You set the minimum levels and tell us where the stock data comes from.
Connect suppliers and suggestions
Each item has its supplier, usual order quantity and delivery time stored, so that a suggestion is ready to order. Your purchasing team maintains your supplier terms.
Order suggestions for review
If stock falls below the agreed level, an order suggestion with a reason is created, which you confirm, change or discard. Nothing is ordered until you approve it.

Purchasing and stock alerts in practice
A heating engineer keeps consumables, pumps and spare parts in the workshop and vans and often only notices shortages on the job. Once the fitters record consumption in their job reports, stock of one type of circulation pump falls below the set level, and purchasing receives a suggestion with supplier, quantity and delivery time. Purchasing checks whether a larger order makes sense because of an upcoming project, and approves it.

What is included and what is not
The alerts are only as good as the stock data; how consumption is recorded is part of the project and needs input from your business. Orders are only placed after your approval, and you negotiate supplier terms yourself.

Two questions before you start
Do we need a warehouse management system for this?
Not necessarily. You need a reliable source for stock or consumption; that can be an existing system, the shop, bexio or simple recording in job reports. We clarify in the first conversation what suits you.
Does the system order from suppliers automatically?
No, it prepares suggestions. Once a workflow has proved itself and you explicitly want it, individual orders can be automated later, within clear limits.
