How a quote assistant turns enquiries into drafts

“Can you do me a quote for the facade?” Often that is all the enquiry says, and several emails go back and forth before area, condition and date are clear; the quote is then written in the evening with prices from memory. A quote assistant asks for the missing details in a structured way, uses your approved services and prices and gives you a draft to check.

  • Ask for missing details

    We agree with you which details you need for a quote, such as measurements, material, access and date. The assistant asks the customer for exactly these points, in a form or in the email thread.

  • Use services and prices

    Your services, unit prices and standard text blocks are set up once and used for every draft. You approve which line items and prices the assistant may use.

  • Drafts for review

    From the enquiry and the details, a draft quote is created with line items, open follow-up questions and notes on where you still need to decide. The quote is only sent after you have checked it.

Quote assistants in practice

A painting and decorating business with six employees gets enquiries for interior painting, usually as one sentence and a photo. The assistant asks for the number of rooms, ceiling height, condition of the walls and preferred date, and creates a draft with the business’s usual line items and a note that the condition of the ceilings is still unclear. The boss checks the draft after work, adjusts one line item and sends the quote.

What is included and what is not

The assistant does not calculate on its own and does not issue a quote without your review; the prices it uses come from what you have approved. You decide in each case whether a line item or a discount is right.

The guide price applies to the scope of the starting point. Before we start, we put in writing whether that scope covers quote assistants or whether a separate quote is needed.

Two questions before you start

What if every project is different for us?

Then the assistant mainly helps with the follow-up questions and the line items that still recur, such as travel, covering up or disposal. You write the part that is specific to the job, but on a prepared basis.

Does the customer see that an assistant is involved?

The customer answers structured questions and receives a quote from you at the end. We agree with you whether and how you mention the assistant.
